You may have seen “External Inquiry Tasks” assigned to you in Rock.  These come from the Contact Us form on the website.

When an attendee submits a message through the Contact Us form on the website, here’s what you need to know and do:

🔄 How It Works

  • Each submission is routed based on topic and campus.
    • Login/Username/Password assistance – Director of Data & Analytics
    • Updates to my profile – Director of Data & Analytics
    • Contributions / Giving – Director of Finance
    • Email my pastor – Campus Pastor based on campus selected
    • Financial Assistance – Financial Assistance Director based on campus selected
    • Other – Director of Data & Analytics (Then routed to best fit based on campus selected.)
  • The designated staff member receives:
    • An email notification
    • A task assigned in Rock (visible via the bookmark feature—even if the email is deleted)

✅ Your Responsibilities

  1. Respond to the attendee directly
    Do not reply directly to the email. Instead, start a new email and send it personally to the attendee to address their inquiry. Or give them a call, send a text, or meet them in person.
  2. Close the task in Rock
    Once you’ve responded, and no other communication is needed, mark the task as complete in Rock. If additional communication is needed, you can keep the task open or create a connection when appropriate.
  3. Reassign if needed
    If the inquiry isn’t meant for you, or you believe that someone else would be the better choice for contacting the person, reassign the task to the appropriate person in Rock.

Please respond to all inquiries within 1–2 days to ensure timely and caring follow-up.
